We have been busy this year building out new features and tools that will make scheduling even easier for you! Some of you may have stumbled upon these new features and some of you might just learn about them now. Either way I am going to go through them for you so you can get the most out of When I Work!
Shift History lets you look at a shifts legacy over a timeline. For example, you can see when a shift was created, who it was assigned to and what manager has made changes to it. This is a useful tool for managers to know who made the changes and what the changes were.
You can view a shift’s history by clicking on the shift and selecting the (!) icon in the upper left corner. Learn more about using Shift History on our support page.
Sales Forecasting and Budgeting
Plug in your sales projections for the week and When I Work will calculate your labor costs and percentages in real time. Click the clock icon under your employees name in the “Scheduler” to view total labor costs and projected sales for that week.
Labor Forecasting/Auto Scheduling
The new “Forecaster” tool learns from your previous scheduling needs and forecasts labor needs that you can tweak before applying to the “Scheduler”. You can even plug in sales projections.
You can access the Forecaster by going to the ‘Scheduler’ tab and selecting ‘Forecaster’ from the drop-down. This will take you to the Forecaster where our app will give you a schedule that is auto-populated based on historical data from your schedules. You can also adjust ‘Position Coverage’ and ‘Skill Level’.
When you are ready to apply the forecast to your schedule select ‘Apply Forecast’ and your schedule will be created.
International Currency Support
Use When I Work to calculate your labor costs and payroll forecast using the correct currency symbol for your account. You can set this by going to ‘App Settings’ and choosing the currency symbol you use from the “Currency Symbol’ field.
Custom Wage Per Position
You can now set a special wage for each position you have an employee tagged to to have an accurate payroll tabulation.
To input the custom wage for each position, you will need to go to the Employee page to edit your employees. From the edit page, select “Payroll/Wage” to input their standard hourly rate and the wage difference for each position to get the correct calculations.
